What happens to your invoice files

When you upload or forward an invoice to Zeropaste, here is the exact sequence:

    Your PDF arrives on our EU servers

    The key fields are extracted — vendor name, date, invoice number, total, VAT, currency, due date

    The extracted fields are shown to you for review

  4. 4

    You export the clean data to CSV or XLSX

  5. 5

    The original PDF file is automatically deleted based on your plan: 5 days on Solo, 40 days on Firm, and 90 days on Studio, or immediately on request from your dashboard

Your invoice files do not live on our servers. They pass through, get read, and are gone.

The extracted fields — vendor name, amounts, dates — are the same data you would have typed into your spreadsheet manually. We keep those so you can access your export history. We do not keep the source documents.

We never train AI on your documents

Zeropaste does not use your invoice files or extracted data to train, fine-tune, or improve any AI model. Your clients' documents are processed and deleted. They are not retained for any purpose other than showing you the extraction result.

Where your data is processed

Zeropaste runs on EU-based infrastructure. Your invoice files are processed on servers located within the European Union and are never transferred outside the EU for processing.

Your professional obligations are preserved

Zeropaste is built for bookkeepers and accountants who handle client documents professionally. Using Zeropaste does not change your obligations to your clients or create any new data processing relationship between Zeropaste and your clients.

You remain the data controller for your clients' information. Zeropaste acts as a data processor on your behalf, processes the files you send, and automatically deletes original invoice files based on your plan: 5 days on Solo, 40 days on Firm, and 90 days on Studio. You can delete any file immediately on demand from your dashboard.

What happens when you cancel

When you cancel your Zeropaste account all remaining invoice files are deleted immediately. Extracted data rows are deleted within 30 days. You can request immediate full deletion by emailing hello@zeropaste.io.
